Shipping Label Printing Sideways or Cut Off? Fix Rotation & Margins

Fix rotated or cropped shipping labels by checking source PDF orientation, 4×6 stock, print preview, scale and driver margins.

A shipping label that prints sideways, loses the edge of its barcode, or cuts off an address line is often being rotated or resized between its source PDF and the printer. The safest correction is to match the PDF page, print dialog and media dimensions rather than stretching the barcode until it looks right.

Quick check: Open the original PDF, verify its page dimensions, select the correct 4 × 6 printer stock, and compare the print preview with the document. If the source is already the right size, try 100% or Actual size and disable unnecessary automatic fitting or rotation.

First decide where the cropping begins

Open the PDF before printing. If required text or barcode bars are already missing on screen, redownload the label from its original shipping platform. If everything is visible on screen but the print preview cuts off content, the print path is the likely place to investigate.

Step-by-step: restore the correct orientation

1. Confirm portrait versus landscape dimensions

A standard portrait 4 × 6 inch label is 4 inches wide and 6 inches tall. A landscape 6 × 4 page has these dimensions reversed. Some thermal printers feed through a slot that visually looks horizontal while the driver still describes the document as portrait. Trust the preview and the model’s guidance, not the printer’s appearance.

2. Match the driver paper size to the actual stock

Open the printer properties for the device receiving the job. Select the correct roll or create an appropriate custom preset if the driver supports one. Avoid leaving a Letter or A4 paper size selected for 4 × 6 media.

3. Avoid double rotation

Some PDF readers automatically rotate content, while printer drivers have a separate orientation control. When both attempt to rotate the job, the output may be sideways. Change one setting at a time and inspect the preview after each change.

4. Start with actual size when the PDF is already correct

If the PDF canvas matches your stock, Actual size / 100% is a sensible first test. Automatic Fit, Shrink to printable area or Scale to page settings may reduce or shift the artwork. Check whether your model imposes nonprintable margins.

5. If the label is embedded in Letter or A4, get a proper thermal PDF

A Letter-sized page containing a small label should not simply be squeezed onto 4 × 6 stock. Request a native thermal-label download from the shipping service. If cropping the original is unavoidable, preserve all bars, quiet zones, routing marks and text required by the carrier.

6. Print just one shipping label

Inspect the top, bottom and side edges and ensure no address line or barcode bar is missing. Do not send a batch until the single result is complete and readable. If the printer pulls extra stock between prints, see the media calibration guide.

Diagnose by the failed edge

What you see Likely place to check
Label printed at 90° PDF and driver orientation options
Rightmost barcode bars missing Stock width, scaling and margins
Bottom of address cut off Page length, clipping and feed calibration
Complete but tiny label PDF page size and double scaling

Avoid these tempting fixes

  • Do not paste the shipping barcode into an image editor and stretch it.
  • Do not crop blank space without checking whether it is part of a barcode’s required quiet area.
  • Do not assume 4 × 6 and 6 × 4 presets are interchangeable.
  • Do not change multiple driver controls simultaneously; that makes the successful setting hard to identify.

Frequently asked questions

Why does my shipping label print sideways on thermal paper?

A mismatch between the PDF’s orientation and the print-driver orientation is a common possibility. Check the preview and change one rotation setting at a time.

Can I remove PDF margins to make everything fit?

Only if that does not remove any required carrier content or barcode quiet zone. A correctly formatted label from the carrier is the safer solution.

Is a cut-off tracking barcode still usable?

Do not assume it is. Reprint the complete original label and verify it meets the carrier’s requirements.

Driver names and nonprintable-area limits vary across models and operating systems. Consult your printer’s documentation for exact settings.
